Overview

This position is responsible for the maintaining and submitting TDOT Construction paperwork, forms, ticket books, material certifications, contractor payrolls, and other documents, both digitally and in hard copy. They will work closely with Project Managers, Engineers, and Construction Inspectors with requests related to projects.


Responsibilities

  • Collect construction documentation from the Contractor and the Construction Inspectors. Check and file documents accordingly. Submit documentation to TDOT in a timely fashion as required.
  • Preparation of documents and correspondence, as necessary using Word and Excel applications at an advanced level of competency.
  • Review Contractor's Prompt Payment and Payrolls using AASHTOWare Project
  • Generate Contractor's Progress Estimates and enter material certifications using AASHTOWare Site Manager
  • Assist Project Managers, Engineers, and Construction Inspectors with requests related to projects.
  • Serve as the initial telephone and office contact for clients, vendors, service providers and visitors and will initiate follow-up contact as required and as needed.
  • Assist the Office Manager and Leads with ordering supplies, working with a variety of vendors, and issuing purchase orders for equipment, supplies, and other items, maintaining monthly vehicle logs for all employees who are assigned a company vehicle.
  • Organize special events: Townhall Meetings, staff meetings and holiday gatherings. Coordination of meeting schedules, appointments, and travel arrangements, as needed.
  • Maintain records and organize filing & archive system, both digitally and hard copy to facilitate the expeditious retrieval of information as needed.
  • Assist with special projects requested by local or corporate office staff.
  • Job is located near Millington, Tennessee, but there may be a need to work from the main office in East Memphis occasionally.

Qualifications

  • College degree preferred, high school diploma or GED accepted.
  • Must have Infrastructure experience working for Engineering Firms or TDOT
  • 2-5 years of professional experience in an office setting
  • Proficient in MS Office (Excel, Word, SharePoint)
  • Detail Oriented, Good Communicator, Self-Starter

We are seeking a highly motivated, computer savvy, professional Administrative Services Assistant (ASA) with a strong background in transportation and infrastructure. Experience in Tennessee Department of Transportation (TDOT) is highly desired but not mandatory. This position is full time with benefits. Hours are flexible but scheduled.

The ideal candidate must have strong communication skills both written and verbal, be well versed in Microsoft Suite and have a proven track record of working on multiple projects at a time in a fast-paced environment. Experience with maintaining paper and digital copies of TDOT paperwork, forms, and recording procedures is highly desirable, but not mandatory.

Salary Range

USD $20.00 - USD $30.00 /Hr.
