Tenant Services Coordinator

Job Description Summary

The Tenant Services Coordinator should endeavor to provide excellent customer service to clients, Tenants, prospective Tenants, guests, and vendors. Tenant Services Coordinators are the face of the property and promote a sense of community. Tenant Services Coordinators are also responsible for being the main point of contact for Tenants before, during and following significant events in the buildings. The Tenant Services Coordinator will be assisting Tenants throughout the event process. The Tenant Services Coordinator will work directly with property managers, vendors and property team members to ensure the highest quality experience possible for the Tenants.

Job Description

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

  • Manage all aspects of meetings and events within the conference center and amenity spaces from scheduling, logistics, vendors, onsite support, etc.
  • Manage all internal support teams and external suppliers to ensure logistics around audio-visual equipment, catering, security, room set-ups and cleaning are properly coordinated and executed.
  • Assist Tenants in scheduling reservations, meeting preparation, room setup and audio-visual equipment support.
  • Facilitate Tenant Amenity Program which includes producing building-wide events 1-2x/month. This process includes ideation, sourcing, ordering, preparation, setup, communicating with Tenants, and breakdown.
  • Management of Tenant app including generating and populating events and amenity specific content in the app. Provide resources to Tenants and an open and welcoming environment for Tenants, their clients, and vendors.
  • Acquire a broad knowledge of the community and the surrounding area.
  • Promote a strong sense of community. Help connect Tenants to one another. Help develop and maintain a strong and healthy identity for the property.

COMPETENCIES:

  • Ability to work with audio-visual equipment to support tenants when scheduling meetings or trouble shooting.
  • Ability to expertly manage last-minute changes and challenges and escalate as necessary.
  • Understand the characteristics of the Tenant population and property in which they serve.
  • Ability to effectively interact and work with individuals from diverse backgrounds and attention to detail.
  • Willingness and ability to work some evenings and weekends; and act respectfully, be patient and with consistent.
  • Understand the characteristics of the Tenant population and property in which they serve.
  • Understand issues that may impact the differential use of services are socio-economic, age, culture, gender, race.
  • Uphold core values: Service, transparency, performance, creativity, and community.

IMPORTANT EDUCATION

  • High School Diploma, GED, Trade, Technical, or Vocational school

IMPORTANT EXPERIENCE

  • 1+ years of related experience

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Regularly required to travel outside between properties in varying weather conditions.

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee may need to travel from floor to floor, climb stairs, and may be required to travel outside between buildings in varying outdoor weather conditions. The employee may also be regularly required to remain in a stationary position (sit or stand) for 85% of the time; regularly operate office machinery.
